About Guide

This guide is an internal guide for Library personnel to request an event to be held in the Library. Previous types of events have been book launches, faculty research series, piñata crafting, zine creating workshops, and others. If you are not a Library personnel member, please reach out to your subject specialty Librarian, or Library Staff Council member.

General Event Information

Event Request

3 - 4 Months Ahead Library Administrator

An Event Planning Request Form must be submitting to the appropriate University Library Administrator 3 to 4 months ahead of the planned event date.

Event Request Form

The Event Request Form will request the following information:

  1. Name of Event Requestor 

  1. Name of Library Sponsor 

  1. Type of Event (Research Talk, Book Launch, Workshop, Other)

  1. Brief description of the event 

  2. Event Details (Event Name, Event Date, Event Time, Event Location, Requestor's Home Department)

  3. Intended Audience (Students, Faculty, Staff, Community)

  4. Additional Considerations (Catering, Audio/Visual, Honorarium for Speaker, Event Marketing and Promotional Materials, Accessibility Considerations, Book Signing/Book Purchasing)

Event Catering

Catering Request 1 Month Ahead Library Administrator

Providing on campus food and beverage along with professional catering services. All Pre-Approved Caterers can deliver/drop off food for small or large events in addition to providing full catering services (setup and serving of the food). If using a pre-approved caterer, you can have food delivered to feed more than 50 people as well as under 50 people.

For events expected greater than 50 attendees, a CSULB Approved Caterer must be used for catering food meals. However, prepackage snacks, candy, donuts, bagels, or cake is not considered a food meal.

The reservation process must be started at least one month ahead of the event date. Administration Assistant will coordinate the catering order, delivery, and set-up for the event.

Event Marketing & Promo

Event Marketing & Promotion 2 Weeks to 1 Month Outreach & Comms Specialist

Outreach & Communications Specialist Jane Diaz will create and produce: 

  • Event flyer (8.5x11) 

Event Audio / Visual (AV) Equipment

AV Request 2 Weeks to 1 Month Administration Assistant

Audio / Visual (AV) Equipment is available to check-out from ATS Classroom Support Services. The reservation process must be started one month ahead of event date. Administrative Assistant will coordinate with ATS to have the AV equipment deployed and operational for the event.

Event Accessibility & Accomodations

Accessibility 2 Weeks to 1 Month Administrative Assistant

Accessibility must be requested two weeks in advance. Accessibility resources will be provided by CSULB's Bob Murphy Access Center (BMAC).

Book Signing Support

Book Signing Support 1 Month Administration Assistant

For author special events and book signings, please submit the attached Author & Special Event Support Request Form. 

Requirements: 4 weeks

This Library Contact Information Column provides the contact information for the primary event members as well as a personnel directory for the entire University Library.
